OFFICE MANAGER & BOOKKEEPER
The Office Manager & Bookkeeper (OMB) will report directly to the company founder & president. The position requires onsite work at our office in Salem MA, however we will consider some offsite / telecommuting for very qualified candidates. The OMB be responsible for leading and managing all aspects of the brewery’s office management & bookkeeping — including but not limited to maintaining the company’s financial books in accordance with generally accepted accounting principles and ensuring the brewery’s administrative tasks run efficiently.
The Ideal Candidate:
The ideal candidate will have applicable accounting experience and a passion for the brewing industry. He or she will have a strong background in bookkeeping, office management, human relations, inventory management, tax reporting processes and general office management. The ideal candidate will have a detailed understanding of QuickBooks as well as a passion for solving problems and creating value for the company and its customers.
Job Purpose:
The OMB’s primary purpose is to lead and manage the brewery’s financial and administrative functions. This is a hands-on position!
Responsibilities include but are not limited to the following:
Maintain the company’s financial books in accordance with GAAP (Generally Accepted Accounting Principles) using QuickBooks
Tax reports (sales, ABCC, TTB, payroll, etc.)
Client files including invoices, payments, credits and reports
Vendor files including entering bills, payments and correspondence
Reconcile all accounts (bank, credit card, etc.)
Wholesale contracts, invoicing, and payments
Retail operations and reporting
General AR/AP
Payroll operations and management
Insurance management and filings
Basic Employee human relations (we use an outside HR consultancy)
Daily responsibilities include but are not limited to the following:
Office administration
Cash deposit reconciliation from onsite sales
Cash bank reconciliation
Assist in inventory management and control (onsite sales collateral, raw materials, WIP, wholesale, etc.)
Credit card receipts control and management
Weekly responsibilities include but are not limited to the following:
Cash projections reports
Cash balances
Assist in projected inventory management (raw materials, brand collateral, etc.)
Weekly payable run
Credit card receipts control and management
AP reconciliation
AR reconciliation
Reconcile distributor reports
Create sales reports
Bi-Weekly responsibilities include but are not limited to the following:
Payroll
Maintain all employee files and paperwork
Payroll reporting and taxes
Processes payments for federal withholding electronically
Monthly responsibilities include but are not limited to the following:
Bank reconciliations
Credit card reconciliations
ABCC report and payment
TTB report and payment
Review balance sheet accounts for accuracy
Posts monthly adjusting journals
Processes Work in Progress
Maintains fixed asset information
Posts accumulated depreciation
Maintains other asset information
Posts accumulated amortization
Reviews income statement accounts for accuracy
Quarterly responsibilities include but are not limited to the following:
Payroll reporting
W-2’s, 1099’s, etc.
Budgets
ABCC, TTB, Corporate, State, Sales Reports, etc.
Review current and future raw materials contracts
Assist in report to shareholders
Other duties include: Costing for finished goods sales, new / terminated employee record keeping, investor relations management
Compensation:
Salary, matching health insurance, 401(k) and employer participation after 12 months employment

Desired Skills and Experience:
A minimum of three years experience in the bookkeeping is required
Strong understanding of general office management is desired
Strong work ethic. The ability to work autonomously and as part of a team
A college degree is preferred
Strong organizational and multi-tasking capabilities, strong communication skills; verbal, listening and written
Must be very organized and a self-starter
